Use WatchFlow from Claude and ChatGPT
Yes. WatchFlow has an AI connector that lets Claude or ChatGPT look up your stock, contacts and invoices in plain English. Changes only happen if the owner turns on add & edit, and each one is shown as a preview and saved only after you say yes. It comes with the Pro, Team and Enterprise plans.
- You ask“Who owes me?” in Claude or ChatGPT, in plain words.
- It looks upReads your WatchFlow book as you. Changes nothing.
- It prepares a previewAny change comes back as a preview. Saved only after you say yes.
- Email: your tapSending an email is always approved with a tap inside WatchFlow.
At a glance
- Works with Claude and ChatGPT, added as a custom connector.
- Look-up first: assistants only read until the owner turns on “Let the assistant add & edit”, which is off by default.
- Every change is a preview, saved only after you say yes.
- Sending an email always needs your tap inside WatchFlow.
- Included with Pro, Team and Enterprise and ready to connect. The owner can switch it off for the team or for one person.
What you can ask
Once you connect, your assistant can read the same book you see in WatchFlow. Ask it the way you would ask a colleague across the desk:
- Which watches you hold, by words or by status, and how many you have with their asking value. More on that in watch inventory management software.
- Who owes you, your open invoices, and how sales went in a period.
- A contact by name, phone or email, before anyone new is added, so you don't end up with the same customer twice.
- Which watch you are looking at: describe it or share a photo, and it suggests up to three matches from the Watch Library reference catalog.
- A short list of what needs you today.
Looking things up is all it does until the account owner allows more.
Changes are a preview you approve
When the owner turns on Let the assistant add & edit, the assistant can prepare a change: book a watch you bought, correct a watch's details, add a contact or a note, draft an invoice for a watch in stock, record a payment, or send you a one-time phone link to add photos. It never saves on its own. It shows you a preview of exactly what will change, and it is saved only after you say yes.
Saved after you say yes in the chat
- Add or correct a watch, a contact or a note
- Draft an invoice or record a payment
- Voids, refunds and deletes
Always a tap inside WatchFlow
- Sending an email
- You check the message first
- You pick the mailbox it goes from
For an email, the assistant gives you a link. You open WatchFlow, check the message, and send it there yourself. Invoices it drafts land in the same watch dealer invoicing flow as the ones you make by hand.
The owner holds the switches
AI assistants come with Pro, Team and Enterprise and are ready to connect. The account owner holds the switches, in Settings → Connections → AI assistants:
Each person connects their own app, and the assistant only sees what that person's role already lets them see in WatchFlow. If a salesperson can't see your cost, they can't see it through Claude either. That is the same rule that lets you hide watch cost from sales staff.
How to connect
- In WatchFlow, open Settings → Connections → AI assistants and copy your connector link.
- Claude (claude.ai or the desktop app): go to Customize → Connectors, choose Add, then Add custom connector, name it WatchFlow and paste the link. On a Claude Team or Enterprise plan, an owner of your Claude organization adds it first; then you press Connect.
- ChatGPT: add WatchFlow as a custom connector and paste the link. Which ChatGPT plans and settings allow custom connectors is up to OpenAI.
- Press Connect. A WatchFlow page opens: sign in if it asks, check it shows your name, and press Allow.
What it does and doesn't do
The connector is look-up first. It looks things up; changes only happen if the owner turns on add & edit, and each change is shown as a preview and saved only after you say yes. Sending an email always needs a tap inside WatchFlow. An assistant can misread a request, which is why you check each preview before you say yes. A connection that goes unused for 30 days expires, and each connection has its own rate limits. The AI connector comes with the Pro, Team and Enterprise plans, and Starter accounts can't connect; see pricing. Prefer to stay inside WatchFlow?
